How to Complete Your Program Plan paperwork in the Hub

This guide will walk you through the process of completing your Program Plan paperwork using the Florida Tech Hub system.

1. Access the Hub

First, log in to the Hub system. You can do this in two ways:

  • Navigate to hub.fit.edu in your web browser.

  • Open the Florida Tech Hub App on your mobile device.


2. Navigate to the Academic Section

Once you are logged in, follow these steps to find your Program Plan information:

  1. Click on the Student tab.

    • On a desktop computer, this tab is located on the right side of the page.

    • On the mobile app, it is in the bottom navigation bar.

  2. Select the Academic tab within the Student section.

3. Check Your Program Plan Status

If you have a "Program Plan Not On File" hold, you will see a Program Plan table on this page. Look at the Status column to determine your next steps:

  • Program Plan Not On File: You can begin the process. Click the Start Paperwork button in the Actions column.

  • Missing Advisor: The system shows you do not have an assigned advisor. Please contact your academic department or the Office of the Registrar for assistance.

  • Last Paperwork Declined / Last Paperwork Canceled: There was an issue with your previous submission. Please meet with your academic advisor to discuss the next steps before submitting a new plan.

  • Please Contact Department: There is an issue that requires departmental assistance. Please contact your department administrator or your advisor for help.


4. Starting and Completing the DocuSign Form

When you click the Start Paperwork button, the system will automatically send an email from DocuSign to your @my.fit.edu student email address. Open this email and click the link to view and complete the required Program Plan document.


5. The Approval Workflow

After you sign and submit your document in DocuSign, the system handles the rest of the approval process automatically:

  1. The document is sent to your academic advisor for review and signature.

  2. Once your advisor approves it, the document is sent to your academic unit head for final approval.

  3. After all parties have signed, you will receive a final, completed copy of the document via email. The system will also send a copy to the Office of the Registrar, and your "Program Plan Not On File" hold will be lifted.

6. Managing Your Paperwork

While your paperwork is in progress, you can manage it from the Hub:

  • Check Progress: Click the Check Status button to see where the document is in the approval workflow.

  • Send a Reminder: If needed, you can send a reminder email to the current signer. You are limited to sending one reminder per day.

  • Cancel Paperwork: If you need to stop the process, you can use the cancel option.

7. Accessing Your Completed File

After the process is complete, the Hub will store your final Program Plan. You can return to the Academic tab at any time and click the View File button to view or download a copy.

8. Requesting a Change to Your Program Plan

If you are a graduate student and need to file a "Request to Change Graduate Program Plan," the process is simple:

  1. Navigate to the Program Plan table on the Academic tab.

  2. Next to your completed and filed Program Plan, you will find a Change Program Plan button.

  3. Clicking this button will start a new DocuSign paperwork process, which follows the same steps outlined above.
